This document is prepared in accordance with and for the implementation of the provisions of Regulation (EU) No. 2016/679 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (“the Regulation”).
The purpose of this document is to inform you, in accordance with the provisions of the Regulation, about the processing of your personal data by Trihaus Arghezi SRL, Trihaus Community SRL, Ropot Boutique SRL, and Asociația Ropot.
In accordance with Article 13 of the Regulation, we provide you with the following information:

According to the Regulation, Trihaus Arghezi SRL, Trihaus Community SRL, Ropot Boutique SRL, and Asociația Ropot (hereinafter collectively referred to as “Impact Hub”) act as data controllers, meaning they determine the purposes and means of processing your personal data.
You are in our database, and we process your data because, as applicable: you have registered and/or participated in an event or program organized by Impact Hub as a participant, trainer, or speaker; you have applied to become an Impact Hub member; you are or have been an Impact Hub member; you have subscribed to the Impact Hub newsletter; or you have been recommended for participation in an event or program organized by Impact Hub.
In this context, we may hold and process the following personal data about you, as applicable: name, surname, email, phone number, address, personal identification number (CNP), IP address, name and identification details of your company, your image (as a result of photo and video recordings at Impact Hub events and programs you have attended).
We process the data mentioned in Section 3 for the following purposes, as applicable: to facilitate your participation in events or programs organized by Impact Hub; for marketing purposes, if we have obtained your consent; to fulfill legal obligations when processing your data is necessary for this purpose; and to fulfill obligations we have towards you or our partners as a result of your participation in an Impact Hub event or program.
We do not process your data for other purposes and will inform you and/or obtain your consent, as required by law, if we intend to process your personal data for other purposes.
You are not obligated to provide us with your personal data; however, without your consent, we will be unable to register you for our events/programs and/or allow you access to Impact Hub premises.
We process your personal data mentioned in Section 3 based on the following legal grounds, as applicable:
You may withdraw your consent for marketing purposes at any time.
We will store your personal data as follows, depending on the purpose: For marketing purposes, for the duration of your consent, not exceeding a reasonable period of 5 years; For legal obligations, for as long as required by applicable law; For contract performance, for the duration of the contract to which you are a party (including participation in Impact Hub events or programs); For our legitimate interests, not exceeding a reasonable period of 5 years
After the storage period expires, your data will be deleted unless we have a legal obligation to retain them longer.
We will not disclose your personal data to third parties, except in the following cases: We may transmit your data to competent authorities when we have a legal obligation; We may share your data with our service providers offering services such as billing, accounting, security, marketing and user interaction, and hosting; We may share your data with the jury or mentors of the program you are participating in and/or with our sponsors and partners when required by obligation or when necessary for the organization of the program/event.
Your personal data are stored within the European Union.
We process your personal data in accordance with our internal data security policy. We assure you that we have implemented all security measures required by current legislation to ensure the security of your data.
In the event of a personal data security breach likely to result in a high risk to your rights and freedoms, we will inform you without undue delay about the breach and will take all necessary measures to remedy the issue and mitigate negative effects.
We do not use automated decision-making processes concerning you; you will not be subject to decisions based solely on automated processing, including profiling.
11.1. Right of Access
You have the right to obtain confirmation as to whether or not we process your personal data and, if so, access to those data. Upon your request, we will provide you with a copy of the personal data we process about you, along with all information we are obliged to provide under the Regulation.
11.2. Right to Rectification and Erasure
You have the right to request the correction of inaccurate, incorrect, or incomplete personal data. You also have the right to request the deletion of personal data when they are no longer necessary for the purposes for which they were processed or if their processing is unlawful.
11.3. Right to Restrict Processing
You have the right to request the restriction of processing your personal data in the following cases: You contest the accuracy of the data, in which case you can request restriction while we verify their accuracy; The processing is unlawful, and you oppose the deletion of the datal We no longer need your personal data, but you require them for the establishment, exercise, or defense of legal claims.
11.4. Right to Object
You have the right to object to the processing of your personal data for marketing purposes or for reasons related to your particular situation. In such cases, we will cease processing your personal data unless we have compelling legitimate grounds to continue processing under the Regulation.
11.5. Right to Data Portability
You have the right to receive the personal data you have provided us in a structured, commonly used, and machine-readable format. You also have the right to transmit these data to another data controller.
11.6. Right to Withdraw Consent for Marketing
You may withdraw your consent for processing your data for marketing purposes at any time, after which we will stop sending you any commercial communications.
11.7. Right to Be Informed
Through this Data Protection Policy, you are informed about the identity and contact details of the data controller, contact details of the data protection officer, purposes and legal basis of processing, categories of recipients, transfers to third countries or international organizations, storage period, and your rights.
11.8. Right Not to Be Subject to Automated Individual Decision-Making
You have the right to request and obtain the withdrawal, cancellation, or reassessment of any decision producing legal effects concerning you, made solely based on automated processing intended to evaluate certain personal aspects, such as professional competence, credibility, behavior, or other similar aspects.
11.9. Right to Complain
You have the right to file a complaint using Impact Hub’s contact details: [email protected], if you are not satisfied with the way your requests have been addressed.

We will respond to your request without undue delay, within no more than one month, unless, due to the complexity or number of requests, we need to extend the response time by up to 2 months, in accordance with the Regulation.
We may ask you to provide information to confirm your identity (e.g., clicking a verification link, entering a username or password) to exercise your rights.
